Please read these Terms & Conditions carefully. They set out the agreement between you and Scholars Publication for the use of this website and for any publication support service you order from us. By using this site, requesting a quotation or placing an order, you confirm that you accept these terms.
1. These terms
These terms, together with our Privacy Policy, our Refund Policy and the written scope of work or quotation we send you, form the whole agreement between us. Where a signed scope of work conflicts with these terms, the scope of work takes precedence for that project.
A contract is formed when we confirm your order in writing, or when we receive payment or a deposit against a quotation, whichever happens first.
2. Definitions
- “We”, “us”, “our” — Scholars Publication, London, United Kingdom.
- “You”, “the client”, “the author” — the person or institution ordering services.
- “Services” — the publication support work described in your quotation or package, such as editing, formatting, journal selection, submission and correspondence support.
- “Manuscript” — the article, paper, thesis chapter, dataset or other material you provide to us.
- “Deliverable” — any document, report, shortlist or submission we produce for you.
3. Eligibility
You must be at least 18 years old and legally able to enter into a contract. If you are ordering on behalf of a university, department, employer or co-author group, you confirm that you are authorised to do so and to bind them to these terms.
4. Our services
Depending on the package you choose, we may provide: language editing and proofreading; substantive and structural editing; formatting to a journal’s author guidelines; journal selection and shortlisting; similarity checking; figure and table preparation; reference and citation formatting; cover letter and response-to-reviewer drafting; submission on your instruction; and correspondence support until a decision is reached.
The exact scope, the number of submission attempts, and the number of revision rounds are set out in your quotation. Work outside that scope is chargeable and will be quoted before it starts.
5. What we do not promise
We want to be precise about this, because the sector is full of claims that cannot be honoured.
- We cannot guarantee acceptance or publication. Editorial and peer-review decisions rest entirely with the journal.
- We cannot guarantee indexing status. Scopus, Web of Science, SCI, ESCI and similar databases add and remove journals at their own discretion. We check a journal’s status at the time of shortlisting; we are not responsible for a later delisting.
- We cannot guarantee timelines set by others — peer review, editorial decisions and production schedules are the journal’s.
- We do not offer or accept payment for guaranteed acceptance, nor do we work with journals that offer it. We do not write papers to be submitted under a client’s name as their own original work, sell authorship, arrange fake or manipulated peer review, or fabricate data or citations.
- We are independent. We are not a publisher and are not affiliated with, endorsed by, or acting as agent for Scopus, Elsevier, Clarivate or any indexing body. Statistics quoted on this site describe our historical experience and are not a forecast of your result.
6. Your responsibilities
- Provide the manuscript, data, figures and supporting files in a usable format, and respond to questions within a reasonable time.
- Confirm that the work is your own original work, or that of your named co-authors, and that you hold all necessary rights and permissions.
- Confirm that all listed co-authors have consented to the submission and to the author order.
- Obtain and provide any ethics approval, informed consent, funding statement, or conflict-of-interest disclosure that a journal requires.
- Review and approve deliverables before submission. Once you approve a version, we submit it as approved.
- Keep your own backup copy of the manuscript at all times.
- Not submit the same manuscript to more than one journal simultaneously, unless the journals permit it.
7. Publication ethics
We work to the principles of the Committee on Publication Ethics (COPE). We will decline or stop work — without refund of work already performed — if we discover plagiarism, duplicate publication, data fabrication or falsification, undisclosed conflicts of interest, image manipulation, citation manipulation, or an attempt to have us produce work that will be passed off as your own unaided output in breach of an institution’s rules. Where a journal requires it, we are willing to be acknowledged as having provided editorial support.
8. Quotations, fees and payment
- Quotations are free, based on the material you supply, and valid for 30 days unless stated otherwise.
- If the manuscript you send differs materially from what the quotation was based on — substantially longer, a different discipline, or requiring rewriting rather than editing — we will requote before starting.
- Fees are payable in advance unless we agree a milestone schedule in writing. Work begins once payment or the agreed deposit clears.
- Prices are in the currency shown on your invoice. You are responsible for bank charges, currency conversion costs and any local taxes or withholding.
- Third-party costs such as article processing charges are separate from our fees, are payable by you, and are never included unless expressly stated.
- We may charge interest on invoices overdue by more than 30 days at 4% above the Bank of England base rate.
9. Turnaround and revisions
Turnaround times quoted are working-day estimates that run from the moment we have everything we need from you. Delays in supplying files, approvals or answers extend the timeline accordingly. Your package includes a stated number of revision rounds on our work; further rounds, or changes arising from new material you add after work has begun, are chargeable.
10. Intellectual property
- Your work stays yours. You and your co-authors retain all copyright and intellectual property in the manuscript, data and figures you supply.
- We claim no authorship and no ownership interest in your research, and we will not reuse it for any other client.
- Ownership of our deliverables passes to you on full payment. Until then, we retain them.
- We retain ownership of our own templates, checklists, methodology and website content. Nothing in this agreement transfers those to you.
- We will not name you, quote you, or publish a testimonial or case study without your prior written consent.
11. Confidentiality
We treat your manuscript and all project correspondence as confidential. Access is restricted to the consultants working on your project, each bound by written confidentiality obligations. We will not disclose your work to any third party except to make a submission you have instructed, to run a similarity check configured not to retain your document, or where required by law. This obligation continues after the project ends. We ask the same of you in respect of our non-public pricing, methods and materials.
12. Journals and third parties
Journals, publishers, indexing databases, payment processors and similarity-check providers are independent third parties. We act only as your agent in dealing with them, on your instruction. We are not responsible for their decisions, policies, fees, delays, errors, retractions or delisting, and links from this website to third-party sites are provided for convenience only.
13. Cancellation and refunds
Either party may cancel a project in writing. What you get back depends on the stage the work has reached — the full rules, including our money-back guarantee and the position when a journal rejects a paper, are set out in our Refund Policy, which forms part of these terms.
If you are a consumer in the UK, you normally have 14 days to cancel a distance contract. By asking us to begin work within that period you acknowledge that you lose the right to cancel once the service is fully performed, and that you will pay for services already supplied if you cancel partway through.
14. Use of this website
You may use this website for lawful purposes only. You must not attempt to gain unauthorised access to it, introduce malicious code, scrape or copy its content for commercial reuse, or misrepresent your identity. Content on this site is provided for general information; it is not academic, legal or financial advice, and we may change it at any time. We do not warrant that the site will be uninterrupted or error-free.
15. Limitation of liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.
Subject to that:
- Our total liability arising out of or in connection with a project is limited to the total fees you paid us for that project.
- We are not liable for indirect or consequential loss, loss of profit, loss of opportunity, loss of academic standing, promotion, grant funding or reputation, loss of data where you have not kept your own backup, or for a journal’s rejection, delay, retraction or delisting.
- We are not liable for any consequence of inaccurate, incomplete or unlawful material that you supplied to us.
If you are dealing with us as a consumer, your statutory rights are unaffected by this section.
16. Indemnity
You agree to indemnify us against claims, losses and reasonable costs arising from your breach of these terms, from any allegation of plagiarism, copyright infringement, research misconduct or breach of ethics approval in respect of material you supplied, or from a co-author dispute concerning work we handled on your instruction.
17. Suspension and termination
We may suspend or terminate a project immediately if payment is overdue by more than 30 days, if we discover a breach of section 7, if you are abusive to our staff, or if continuing would place us in breach of law or publisher policy. Where we terminate for one of these reasons, fees for work already performed remain payable. On termination, we will return your materials and, on request, delete our working copies subject to the retention periods in our Privacy Policy.
18. Events outside our control
We are not liable for delay or failure to perform caused by events beyond our reasonable control, including internet or infrastructure failure, strikes, epidemics, government action, war or natural disaster. If such an event continues for more than 60 days, either party may cancel and we will refund fees for work not yet performed.
19. General
- Changes. We may update these terms; the version applying to your project is the one published when your order was confirmed. The current version and its date appear at the top of this page.
- Assignment. You may not transfer your rights under this agreement without our written consent. We may assign ours to a successor business.
- Severability. If any provision is found unenforceable, the rest remain in force.
- Waiver. A delay in enforcing a term is not a waiver of it.
- Third-party rights. No one other than you and us may enforce this agreement.
- Notices. Written notice may be given by email to the addresses used for the project.
20. Governing law
These terms and any dispute arising from them are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer resident elsewhere in the UK, you may bring proceedings in your own jurisdiction. We ask that you raise any complaint with us first — most issues are resolved quickly and directly.
